Networking Trade Fair

General Advice – Trade Fair

  • We have 650 travel agent delegates registered for the event
  • All Trade Fair stands will be allocated on arrival for set-up, please go to CLIA desk to check stand location
  • Data capture: We encourage on-stand competitions to collect business cards or email addresses, however no winner announcements can be made on the day. Please feel free to share winner notifications with Alex ([email protected]) for website / Newsletter features. CLIA can only share the full agent delegate list (names and agency) post-event on request
  • Destination theme: In line with our overall Conference theme focusing on cruise destinations, #DiscoverMore, please feel free to highlight (on-stand) the destinations you visit and the destination experiences you offer
  • Foodie Giveaways: As it is an early evening event this year, we encourage suppliers to bring along catering and/or drinks for agent delegates

Practical points about the Trade Fair venue

  • Power: Plug sockets around the baggage hall are very limited, so we cannot guarantee electricity for you at your trade fair stand
  • WiFi: There is no WiFi available within the baggage hall
  • Refreshments: Whilst there will be Tea / Coffee / light refreshments available during the Trade Fair itself, there will be no catering provided during the set-up periods
  • Special Requests: For any special requests related to your trade fair stand, please contact Craig [email protected]

Trade Fair Set-up:

There are two time slots for setting up your trade fair stand:

  • Wednesday 22 May 13.00 – 18.00
  • Thursday 23 May 12.00 – 16.00

Please note that the Thursday slot overlaps with the afternoon Conference Business sessions, so we would recommend setting up your trade fair stand on the Wednesday afternoon wherever possible, so as to take full advantage of the Conference Business Sessions and the networking opportunities around it.

Arriving by Car: If arriving by car, please enter the port area via Dock Gate 10. For those bringing heavy items, there are drop-off/pick-up lanes just outside the Terminal building.

  • On Wednesday 22 May, there is no time restriction on how long your vehicle can remain in the drop-off/pick-up lanes during the hours of set-up (13.00 – 18.00)
  • On Thursday 23 May however, the drop-off/pick-up lanes should only be used for unloading and loading. Please then park your car in the short stay car park closest to Dock Gate 10. Do not pay for the Short Stay parking. Instead, please come and see the CLIA stand for a QR code to enter your details and exempt your vehicle from the parking charge. Failure to complete the QR code will result in a fine.

Deliveries: Please note, the cruise terminal cannot accept or hold any pre-deliveries. If any items are being delivered on the set-up days during the hours shown, you must be in attendance to accept delivery. CLIA staff / Terminal staff cannot accept these on your behalf.

Trade Fair Take-down

Take-down will happen as soon as the Trade Fair closes and agents start to depart on the transfers, from 19.30. All rubbish & recycling must be disposed of. CLIA will advise on the day where this can be done.

CLIA Industry Update / Sponsor Day

As part of the CLIA Conference schedule, we have the opportunity to host Sponsors for a dedicated morning of sessions whilst the travel agents are onboard their first day of ship visits. This session is sponsored by Mail Metro Media and Visit Barbados.

Date: Friday 24 May 2024
Venue:Leonardo Royal Hotel Southampton Grand Harbour
Timings: 10.30 to 13.00, followed by networking lunch, sponsored by Mail Metro Media, and finishing 14.30

This is a special addition to CLIA Conference that aims to deliver content for cruise line executives and sponsors as we discuss some of the key issues in the cruise industry. Sessions will include an update on research, the latest news on decarbonisation and sustainability, and discussions of a range of topics that will impact the sector.

Coach Transfers

Coach transfers will run between three central transfer points, detailed below, to all elements of the Conference, in line with the full Travel Agent Schedule.

You are welcome to join these transfers and you should have selected which transfer pick-up/drop-off point you would like to use via the Conference registration link.
